The City of Beaverton is seeking a qualified Deputy City Recorder to join the City Recorder's Program team. This position works in a dynamic, fast-paced environment, with a wide variety of duties necessary to provide information and transparent government services to the public. Major responsibilities include coordinating City Council meeting packets, assisting the City Recorder in conducting City elections, and acting as the City Recorder in their absence.
The City Recorder's Program falls within the Office of the Mayor. The Deputy plays a key support role to the City Recorder. It is a full-time position, working standard office hours (M-F, 8-5) and some evenings (1-4 times per month). The Program is staffed by three full-time positions (City Recorder, Deputy City Recorder, Support Specialist) who actively work with City staff, elected officials and the public.
The Deputy City Recorder assists and acts in a confidential capacity to a person who formulates, determines and effectuates management policies in the area of collective bargaining (ORS 243.650). This is a management (M3), non-exempt classification.
This is a non-exempt, management position.
Coordinate and process Council and Beaverton Urban Redevelopment Agency (BURA) meeting packets.
Attends Council and BURA meetings and prepares meeting minutes. Utilize Granicus Video Streaming software to track and record meetings.
Processes Council/BURA documents after meetings.
Assists City Recorder/Elections Officer in conducting City elections.
Serves as lead worker for some services provided by the City Recorder's Program.
Oversees quality control in archiving Council and BURA records.
Oversees administration of the City's room reservation system.
Knowledge of the laws, regulations and ordinances related to municipal elections administration, public meetings, records management, public noticing requirements.
Expert skills in taking notes and writing minutes, and verbal/written communication skills.
Able to work evenings
Associates Degree and three years progressively responsible experience coordinating City Council or other elected board meetings and voting processes, or an equivalent combination of education and experience.
Ability to pass skills test.
The incumbent in this position is required to maintain relevant employer/state/federal standards for licenses, certifications, conduct, screenings, reference, education and background checks.
Certified Municipal Clerk
Master Municipal Clerk certification
Notary public (possess or ability to obtain within one year)
Additional Salary Information: Starting wage will be determined depending on relevant work experience.
